Databases separate contacts by websites or business units. At least one database is required. It's recommended only to have one database, but you can create as many as you like.

Accessing Databases via Contacts


The easiest way to access databases is through clicking Contacts on the navigation menu on the left, then clicking Manage Databases (Fig 1).

No matter how you navigate to it, you should reach the Databases tab of the Contacts Management screen (Fig 2).

Create New Database


We're going to go through how to Create a New Database. 


On the Databases page, click the "Create" button to Create a New Database (Fig 3).

This will open the Create a Database modal with the Basic tab open by default (Fig 4).

The following fields are required to create a database: 

  • Basic
    • Database name - The name of your database
    • Database description - The description of your database
  • Sender details
    • Send-from name - The name that will appear in the From field of your emails
    • Send-from email - Emails are sent from this address when someone subscribes/unsubscribes from your contact database
    • Reply-to email - The email address that will receive replies from your contacts
    • Event notifications email (only if Send event notifications is checked) - The email address that will receive event notifications
  • Company details
    • Name - The name of your company
    • Phone number - The contact phone number for your company
    • Address -  The address of your company 


When you're done creating your Database, click the Save button to save your changes. 


If you want to Customize the fields in your database, click the Fields button (Fig 5). Again, when you're finished, click the Save button to save your changes.

After saving our new database, we should be back to the Databases screen (Fig 6).

From the Database screen there are a few notable actions you can take: 

  • Apply Actions can be applied to one or more databases depending on how many are selected via the checkbox on the far left column. 
  • Actions apply to individual databases after the "..." icon is clicked. 


Other than Actions, there are also default columns you should be aware of: 

  • Name is the name of your database. 
  • ID is the ID number for your database. 
  • Send From is the email address that campaigns using this database send emails from. 
  • Total is the total amount of contacts in your database. 
  • Active is how many active contacts are in your database. 
  • Bounced is how many bounced contacts are in your database. 
  • Unsubscribed is how many unsubscribed contacts are in your database. 
  • Database Owner is the email address of the user who owns the database. 
  • RSS Feed provides the RSS feed (.RSS file) for your database. 
  • Created At displays the time stamp of when this database was originally created. 


Apply Actions


After selecting one or more databases via the checkbox on the left, clicking the Apply Actions drop-down menu gives you access to the several actions (Fig 7):

Let's take a look at what these actions are and what they do (some may not apply depending on if you have one or multiple databases selected): 


  • Set database(s) label to add a label to your database. 
  • Delete selected database(s) to delete your database. 
  • Delete contacts from selected database(s) to delete all your contacts from your database. 
  • Update contacts to receive text based emails to update your contacts to receive text-based emails.
  • Update contacts to receive HTML based emails to update all of your contacts from your database to receive HTML based emails. 
  • Update contacts email status to confirmed to update all of your contacts from your database's email statuses to confirmed. 
  • Update contacts email status to unconfirmed to update all of your contacts from your database's email statuses to unconfirmed. 
  • Update contact SMS status to confirmed to update all of your contacts from your database's SMS status to confirmed. 
  • Update contacts SMS status to unconfirmed to update all of your contacts from your database's SMS status to unconfirmed. 
  • Merge selected databases together to merge the selected databases into one database.  
  • Recover selected database(s) to recover the selected database. 
  • Purge selected database(s) to purge the selected database. 
  • Export selected database(s) to export the selected database's contacts to a CSV file.  


Transient Suppressions List 


Clicking the "Transient Suppressions List" button takes you to the Transient Suppression Lists screen.  


Actions


Clicking the "..." icon in the Actions column pulls up a different set of actions you can do to your database (Fig 8).

Here are the actions you can take from that menu: 


  • Add contact adds a contact to your database. 
  • View contact lets you view contacts in your database. 
  • Edit allows you to edit your database. 
  • Export lets you export your database to a .CSV file. 
  • Duplicate lets you clone your database. 
  • Import lets you import contacts to your database via a .CSV file. 
  • Suppressions list let you go to the suppression lists on your database. 
  • Statistics let you see the statistics for your database.
  • Apply labels lets you apply labels to your database. 
  • Delete lets you delete your database.
